About JAT Fleet
What is JAT Fleet and what kind of companies is it suitable for?
JAT Fleet is a complete fleet management platform designed to simplify and automate all the processes associated with corporate vehicle administration. From vehicle management and maintenance to expense tracking and personalised reports, JAT Fleet adapts to companies of any size - whether it's an SME with a few vehicles or an organisation with hundreds of vehicles. It's suitable for teams that want to leave Excel files behind and gain real-time control over the entire operation.

Vehicle and Fleet Management
Can I import my vehicles onto the JAT Fleet platform?
Yes, JAT Fleet allows you to import vehicles using a pre-defined Excel template. This process facilitates the initial migration of data, saving time and ensuring that all relevant information, such as make, model, licence plate, acquisition dates and current status, is immediately available on the platform. If you have any questions, our support team is available to walk you through the process step by step.
Does the platform allow you to associate drivers with vehicles?
Of course! You can assign drivers to vehicles on a permanent or temporary basis. The assignment feature also allows you to quickly consult the history of use and find out who drove which vehicle, when and why. This feature helps not only with internal organisation, but also with accountability and cost management per employee.
Is it possible to register documents such as insurance, inspections or contracts on the platform?
The JAT Fleet platform allows you to attach and organise all the documents related to each vehicle, from insurance certificates and inspection records to leasing contracts and technical manuals. What's more, the system sends automatic notifications when documents are about to expire, helping to keep everything in compliance.
Can I control the fines assigned to each vehicle?
Yes, we have a module dedicated to managing offences. You can record each fine, associate it with the corresponding vehicle and driver, as well as attach evidence or related documents. In addition, you can track the status of the fine (in progress, closed and cancelled) and generate reports by period or by driver.
How does vehicle lifecycle management work?
You'll be able to follow the vehicle's entire life cycle, from purchase to disposal. You'll be able to see maintenance history, associated costs, mileage, and make more informed decisions about when to replace a vehicle. All this helps to maximise the return on investment and reduce the total cost of ownership (TCO).
Does the platform calculate the fleet's TCO (Total Cost of Ownership)?
Yes, JAT Fleet analyses all vehicle-related costs - fuel, maintenance, insurance, taxes and more - and provides detailed Total Cost of Ownership reports. This allows you to identify less efficient vehicles and make more informed strategic decisions.
Drivers and Duties
How do I assign drivers to vehicles?
In JAT Fleet, you can assign drivers to vehicles simply by selecting the date, the vehicle and the driver - and the platform takes care of the rest. You can also define a period of utilisation for the vehicle.
Do drivers also have access to the app?
Yes, drivers have access to the mobile app, where they can check their assigned vehicles, record mileage, attach documents and even report incidents. The application has been designed to be simple, fast and with everything they need on a daily basis.
Does the system send notifications to drivers?
Yes. Drivers receive automatic notifications whenever any intervention is required. They are also alerted to documents they have to hand in, scheduled maintenance, changes in assignments or any information relevant to their operation.
Can I associate documents with drivers?
You can and you should! Each driver can have their own digital file with documents such as their driving licence, liability certificate, medical exams, training or others. You can also set alerts for the validity of these documents - guaranteeing legal compliance and operational security.
Can I consult the assignment history?
Yes. The assignment history is always available and can be filtered by driver, vehicle or period. This information is essential for analysing productivity, internal audits and making strategic decisions about resource management.
Can I request audits of drivers' vehicles?
Yes. JAT Fleet allows you to create and apply digital check-ups to your vehicles on a regular or one-off basis. These check-ups work like internal audits and can include customised checklists (e.g. tyres, lights, mandatory equipment, cleanliness, damage, etc.).
Everything is recorded on the platform with date, time, responsible user and vehicle status, guaranteeing history and traceability for future analyses or audits.
Costs, Fuel, Maintenance and Fines
Can I record and control my fleet's refuelling?
Cada registo pode incluir o valor pago, tipo de combustível, litros, quilometragem, data e localização – o que lhe permite monitorizar consumos anormais, detetar desvios e identificar veículos menos eficientes.
Does the platform analyse costs per vehicle?
JAT Fleet also allows you to automatically calculate TCO (Total Cost of Ownership), so that your decisions are based on real data and not estimates.
How does maintenance management work?
You can schedule preventive maintenance based on mileage, time or use. The system sends automatic alerts when maintenance is due. You can also record corrective maintenance, create work orders, associate quotes and store the complete history of interventions - including attachments such as invoices or reports.
Is it possible to consult the history of maintenance costs?
Yes. Each vehicle has a detailed history where you can see all the interventions carried out, the costs involved and the service providers. This information helps you understand breakdown patterns, negotiate with suppliers or even make decisions about replacing vehicles.
Is it possible to allocate costs to cost centres or departments?
Of course! You can categorise costs by cost centre, department or business unit. This gives you a clear, segmented view of spending, essential for sharing reports with finance teams or justifying budgets to management.
What's more, if a vehicle is initially assigned to cost centre X and is later transferred to another cost centre, JAT Fleet ensures that future costs are automatically allocated to the new cost centre, keeping the history organised at all times.
Can I import cost and supply data?
JAT Fleet offers templates for importing data in Excel or CSV. You can import lists of supplies, overheads, fines or maintenance. This allows you to easily migrate historical information or update records in bulk.
Documentation and notifications
Can I store and organise fleet documents?
Yes. JAT Fleet allows you to centralise all the documentation associated with vehicles, drivers and equipment. From legal documents such as ownership records, insurance policies and inspection certificates, to leasing contracts or internal reports. You can organise them by category, expiry date and link them directly to the respective vehicle or driver.
Does the system send notifications about expiring documents?
Yes. You can set up automatic notifications by email or within the platform to be alerted when a document is about to expire. For example: IUC, inspection, insurance, driving licence or any other file you have uploaded with an expiry date. This way you avoid fines and ensure compliance with legal obligations.
Can I keep track of the expiry dates of the entire fleet?
Yes. Through the document dashboard and general calendar, you can get a clear view of all documents with upcoming, overdue or compliant deadlines. This overview is essential for preventing forgetfulness, especially in fleets with a high volume of vehicles and drivers.
Can I send notifications to drivers?
Yes. JAT Fleet allows you to send notifications directly to drivers (via app or email), for example, to alert them to documents they need to hand in or renew (such as a driving licence or fuel registration), or to confirm receipt of fines, revisions or compulsory training.
Are the documents safe on the platform?
Yes. Documents are stored securely, with permissions configurable by user type. You can define who can view, edit or delete files, ensuring that only the right people have access to sensitive information. Plus, there are automatic backups for added security.
Can documents be linked to maintenance or costs?
Yes. You can attach invoices, estimates or reports directly to maintenance records, fines or any other type of cost. This allows you to keep everything centralised, facilitating audits or future queries.
Dashboards and Reports
Does JAT Fleet have dashboards or KPIs?
Yes. JAT Fleet offers dashboards where you can choose the most relevant KPIs for your operation: costs per kilometre, idle vehicles, pending alerts, average fuel consumption, maintenance by vehicle type, among others.
What kind of reports can I view?
You can view detailed reports on practically all fleet data: total costs and costs by category (fuel, maintenance, fines), TCO per vehicle, driver records, assignment history, critical alerts and much more. Reports can be extracted and used for internal analyses or presentations to management.
Does the system allow you to track underutilised vehicles?
Yes. Through utilisation reports and graphs, you can identify vehicles that are underused or with low profitability. This helps you make strategic decisions such as redeployment, sale or replacement, improving overall fleet efficiency.
Can you see the TCO (Total Cost of Ownership) graph?
Yes. The TCO is calculated automatically and presented in a graph based on all the costs associated with the vehicle: fuel, maintenance, taxes, insurance, fines, rent, etc. This allows you to compare vehicles realistically and identify which are more expensive over time.
Is it possible to analyse driver performance?
Yes. The reports include driver metrics such as number of assignments, incidents, average fuel consumption, history of fines and missed inspections. This allows you to evaluate individual performance and promote corrective or recognition actions.
Can I export the data from the dashboards?
Yes. You can export any graph or report directly from the dashboard, in Excel format or via API. This way, you can include the data in meetings, internal reports or presentations without any additional effort.
What if the dashboards don't fit my company's reality?
No problem! If standard dashboards don't meet your needs, JAT Fleet offers a complete API to access all your fleet data and integrate it with other internal platforms.
If you use tools such as Power BI, we can also provide a dedicated connector to make it easier to create fully customised reports and analyses.
